This policy sets out the terms and conditions that apply to all bookings made with Brydges Place Club (the "Club"), including reservations for dining at the Club and tickets or places at Club events. It applies to members of the Club and, where applicable, their guests.
By making a booking, reservation, or purchasing a ticket, you confirm that you have read and agree to be bound by this policy in its entirety. This policy forms part of your membership agreement and the Club's wider Terms and Conditions.
Please read this policy carefully before confirming any booking. If you have any questions, contact the Club team using the details at the end of this document.
PART A: DINING AND TABLE RESERVATIONS
A1. Making a Dining Reservation
Reservations for dining at Brydges Place Club may be made by telephone, via the Club's website, by email, or through such other booking channels as the Club makes available from time to time.
A reservation is confirmed only when you receive written or verbal confirmation from the Club. Requests submitted online or by email are not confirmed until you receive acknowledgement from the Club team.
At the time of booking you may be asked to provide:

The name of the member making the reservation;

The number of guests in your party;

Any dietary requirements or food allergies;

A contact telephone number or email address;
-
Credit or debit card details to secure the reservation (see A4 below).
A2. Reservations Policy
Dining reservations are available exclusively to members of Brydges Place Club and their guests. A member must be present at all dining bookings made in their name. Members may not make reservations on behalf of non-member groups at which no member is present.
The Club reserves the right to limit the size of dining parties at its discretion, and to refuse or cancel reservations that do not comply with Club rules.
Special requests, including private dining arrangements, exclusive use of a section of the dining room, or bespoke menus, are subject to separate agreement and availability. Please contact the Club team directly to discuss requirements.
A3. Arrival and Late Arrival
We ask that members and their guests arrive promptly at the time of their reservation. Where a party is more than 15 minutes late without prior notification, the Club reserves the right to release the table and offer it to other members.
If you anticipate arriving late, please notify the Club as early as possible so that we can make appropriate arrangements. The Club will endeavour to accommodate late arrivals where possible, subject to the availability of suitable seating.
A4. Securing Reservations and Pre-Authorisation
For reservations of 9 or more guests, or for bookings made during peak periods as determined by the Club, a valid credit or debit card may be required to secure the reservation. No charge will be taken at the time of booking unless a pre-payment or deposit is specifically required and communicated to you.
Pre-authorisation of a card does not constitute a charge but reserves the right of the Club to apply a cancellation charge in accordance with the schedule set out in Section A5 if the reservation is cancelled within the notice periods specified.
A5. Cancellation of Dining Reservations
We understand that plans can change. We ask for as much notice as possible when cancelling a reservation so that we may offer the table to other members.
The following cancellation terms apply:
​​​Cancellation charges will be applied to the card used to secure the reservation, or invoiced to the member's account. The Club will notify the member prior to applying any charge.
To cancel a reservation, please contact us by telephone or email as early as possible, using the contact details in Section C1.
A6. Amendments to Dining Reservations
Requests to amend a dining reservation, including changes to party size, date, or time, are subject to availability and must be made as early as possible. The Club will accommodate amendments where it is reasonably able to do so.
A significant reduction in party size (of more than half the original party) made within 24 hours of the reservation may be treated as a partial cancellation and may attract a charge at the Club's discretion.
A7. Club-Initiated Changes and Closures
Occasionally it may be necessary for the Club to cancel, relocate, or reschedule a dining reservation due to circumstances including private functions, maintenance works, force majeure, or other operational reasons. Where the Club initiates such a change, we will:

Provide as much notice as possible;

Offer an alternative reservation at a mutually convenient time; or
-
Provide a full refund of any pre-payment made, where an alternative cannot be agreed.
The Club will not be liable for any indirect losses arising from a Club-initiated cancellation, including travel or accommodation costs incurred in anticipation of the booking.
A8. Minimum Spend and Service Charge
Certain tables, time slots, or periods may be subject to a minimum food and beverage spend per head. Where a minimum spend applies, it will be communicated at the time of booking and will form part of the booking confirmation.
A discretionary service charge of 12% is added to all dining bills. This is distributed in full to the Club's service and kitchen staff. Members may request for the service charge to be removed at the time of settling the bill.
PART B: EVENTS TERMS AND CONDITIONS
B1. Event Bookings
Brydges Place Club hosts a programme of exclusive events for members and their guests, including dinners, cultural evenings, private tastings, seasonal celebrations, and guest speaker events. The Club may make a limited number of places available to guests of members for certain events.
Event bookings may be made via the Club's website, by telephone, or by email. A booking is confirmed only upon receipt of written confirmation and, where applicable, full or partial payment.
Places at events are limited and are allocated on a first-come, first-served basis. The Club reserves the right to maintain a waiting list for oversubscribed events.
B2. Payment for Events
Payment for events is required at the time of booking unless otherwise stated. The Club accepts payment by credit card and debit card.
All event prices are inclusive of applicable taxes unless stated otherwise. Where a full dinner or dining component is included in an event ticket, any additional food and beverages ordered separately will be charged to the member's account or settled on the evening.
B3. Cancellation of Event Bookings by Members
Given the planning and costs involved in organising exclusive events, the following cancellation schedule applies to all event bookings:​​​​​​​​​​​​​​​​​​

All cancellations must be made in writing by email to the Club team. Refunds will be processed to the original payment method within 10 business days of the cancellation being confirmed.
B4. Transferring Event Tickets
Where a member is unable to attend an event, they may in some circumstances transfer their place to another member of the Club, subject to the following conditions:

The transfer must be requested in writing no less than 48 hours before the event;

The receiving member must be a current member of Brydges Place Club in good standing;

The Club must confirm the transfer in writing before it takes effect;

Transfers to non-members are not permitted unless the event is designated as a guest-inclusive event and the original member will also be attending.
Ticket transfers do not attract a refund to the original member. The Club reserves the right to decline a transfer request at its discretion.
B5. Club-Initiated Changes to Events
Brydges Place Club reserves the right to cancel, postpone, or materially alter an event due to circumstances including, but not limited to, insufficient bookings, the unavailability of a featured guest or performer, venue issues, force majeure, or other circumstances beyond the Club's reasonable control.
Cancellation by the Club
If the Club cancels an event outright, members who have paid will receive a full refund of the ticket price. Refunds will be processed within 10 business days of notification. The Club will not be responsible for any ancillary costs, including travel, accommodation, or third-party expenses incurred in connection with the event.
Postponement by the Club
If an event is postponed, members will be offered the choice of:

A transfer of their booking to the rescheduled date; or
-
A full refund of the ticket price.
Members must communicate their preference within 14 days of notification of the postponement. Failure to respond within this period will be treated as acceptance of the transfer to the new date.
Material Alteration by the Club
If a change to an event is material (for example, the removal of a headline guest speaker or a significant change to the format), members will be notified promptly and offered a partial refund or credit at the Club's discretion, or the option to cancel in accordance with the cancellation schedule above.
B6. Guest Tickets and Non-Member Attendance
Members may bring guests to events where the event is designated as guest-inclusive. The attending member is responsible for the conduct of their guests at all times and for ensuring their guests are aware of and comply with the Club's rules and standards of behaviour.
Guest tickets are non-transferable and cannot be reissued to a different guest once confirmed, except at the Club's discretion. Where a guest is unable to attend, the cancellation policy in Section B3 applies to the guest ticket in the same manner as a member ticket.
B7. Conduct at Events
Members and their guests are expected to conduct themselves in a manner consistent with the standards of Brydges Place Club at all times during events. The Club reserves the right to remove from an event any person whose behaviour is deemed inappropriate, disruptive, or in breach of Club rules, without refund.
Dress codes applicable to individual events will be communicated in the event invitation or booking confirmation. Failure to comply with the stated dress code may result in refusal of entry without refund.
B8. Photography and Recording
Members and guests must not photograph or record other guests without their consent under any circumstances. Commercial photography, filming, or recording is not permitted without the prior written consent of the Club. Unless expressly stated otherwise, photography and video recording of members themselves for personal use are permitted at events. Members are not permitted to share any such content online or on social media without the express written permission of the Club.
The Club may commission photography or videography at events for promotional purposes. By attending an event, you consent to the possibility of appearing in such materials. If you object to being photographed, please notify the Club team at or before the event.
PART C: GENERAL PROVISIONS
C1. Contact and Complaints

We aim to acknowledge all written queries within 5 business days and to resolve complaints within 14 business days. Where a complaint cannot be resolved within this timeframe, we will keep you informed of progress.
C2. Refund Processing
Refunds will be returned to the original payment method used at the time of booking. The Club does not issue refunds by cash or to a payment method other than the one originally used, except where this is not possible, in which case an alternative will be agreed with the member.
Processing times for refunds are as follows:

Credit and debit card refunds: typically, 5 to 10 business days from authorisation, subject to your card provider's processing times.

Bank transfer refunds: typically 3 to 5 business days from authorisation.
Where a refund is due and cannot be processed to the original payment method, the Club will contact the member to find an alternative solution.
C3. Force Majeure
The Club shall not be liable for any failure to perform its obligations under a booking where such failure results from circumstances beyond the Club's reasonable control, including but not limited to acts of God, extreme weather, pandemic or public health emergency, fire, flooding, strikes, government restrictions, or civil disorder.
In such circumstances, the Club will endeavour to reschedule or offer appropriate credit or refund at its discretion, but shall not be liable for any consequential loss suffered by the member or their guests.
C4. Amendments to This Policy
The Club reserves the right to amend this policy at any time. Any changes will be published on the Club's website and, where material, communicated to members directly. Bookings made before the date of any change will be governed by the version of the policy in force at the time of booking, except where a change is required by law.
C5. Governing Law
This policy and any dispute arising from it shall be governed by and construed in accordance with the laws of England and Wales. Disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales, save that members resident in Scotland or Northern Ireland may also bring proceedings in the courts of their home jurisdiction.
